VLOOKUP vs Join: Which Is Better for Combining Files?
Both combine two tables by a shared column. They differ in speed, safety and the result you get.
The short answer. VLOOKUP is fine for a quick lookup in a small sheet. A join is better for large files, for more than one matching column, and when you want a clean result file.
How VLOOKUP works. It looks up a value in the first column of a table and returns a value from a column to the right. It breaks when columns move, it cannot look left, it returns only one match, and one extra space in a key gives #N/A. It is also slow on tens of thousands of rows.
How a join works. You choose a key column in each file, and the tool adds the matching columns from the second file to every row of the first. You choose which rows to keep: only matching rows (inner), all rows of the first file (left), all rows of the second (right) or all rows of both (full). Keys are matched ignoring capitals and extra spaces, which removes the most common reason a lookup fails.
Which to use. For a one-off check in a spreadsheet, VLOOKUP is quick. For repeated work, large files or files in CSV, use a join. In Data Utility, the Data Transformation tool joins two CSV or Excel files in your browser with no formulas, and records the join in Data Lineage.

Frequently asked questions
Which transformations are available?
Join with a second file (inner, left, right, full), trim spaces, concatenate columns, change case, find and replace, split a column, rename, remove columns, filter rows, remove duplicates, sort and fill empty cells.
Can I run several steps?
Yes. Steps run from top to bottom and each one sees the result of the one before. You can reorder or remove them.
Can I join two files or combine columns?
Yes. Data Transformation lets you join two CSV or Excel files on a key (inner, left, right or full), and trim spaces, concatenate columns, change case, find and replace, split, rename, filter, sort, remove duplicates and fill empty cells. You choose the steps, check the result and download it. Your files stay in your browser.
Can I change the date format of a column?
Yes. Add a Change date format step, pick the column and the new format, such as 2026-03-09, 09/03/2026 or March 9, 2026. It reads many layouts, Excel date numbers and unix timestamps, and can also give only the year, month, weekday or quarter. If 03/04/2026 is unclear, you choose day first or month first.
Tip: Add a Trim spaces step before the join. A stray space in a key stops two rows from matching.
